1. Who we are

Flypass Holidays Limited is the controller of the personal information described in this policy. We are a company registered in England and Wales, company number 16891200, registered office 50 Princes Street, Ipswich, Suffolk, IP1 1RJ, and we are registered with the Information Commissioner's Office under registration ZC149216. 2. The information we collect

Because we prepare visa applications, the information we handle is more extensive than that of an ordinary travel website. Depending on your instruction it may include: your name, date and place of birth, nationality and contact details; passport details and copies; your UK immigration status and supporting evidence; your travel plans, bookings and travel history, including previous visa refusals where you disclose them; employment or study details and supporting letters; financial documents you supply for your application, such as bank statements and payslips; details of family members or travelling companions included in a joint application; payment details, processed through trusted payment providers; your correspondence with us, including messages sent by email or WhatsApp; and technical information about your use of our website, such as device type, pages viewed and approximate location, collected through cookies and similar technologies as described below. We collect only what is needed for the purpose you engage us for. We do not deliberately seek information about your health, religion or other special categories; where a document you supply happens to contain such information, we handle it only as part of your application file and only with your consent.

3. How we use your information, and our lawful bases

We use your information to prepare, review and support your visa application and travel arrangements, which is necessary to perform our contract with you; to respond to enquiries before you instruct us, which is a step taken at your request prior to a contract; to send service updates and confirmations; to keep records required of us by law, including accounting and tax records, which is a legal obligation; to protect our business and resolve disputes, which is in our legitimate interests; and, where you have consented, to send marketing communications and to measure and improve our advertising as described in section 5. You can withdraw consent at any time, and doing so does not affect the lawfulness of anything done before withdrawal.

4. Who we share your information with

We do not sell or rent your personal information, and we do not share it with third parties for their own advertising. We share information only as needed to deliver our services: with visa application centres, consulates and embassies, as required to lodge the application you have instructed; with airlines, accommodation providers and insurers, where we arrange or assist with those bookings at your request; with our service providers, including our customer relationship management and communications platform, our email provider, our website hosting provider and our payment processors, each acting on our instructions under contract; with our group support office, which assists with case administration under our control and the same confidentiality obligations; and with professional advisers, regulators or authorities where the law requires it.

5. Advertising, analytics and cookies

Our website uses cookies and similar technologies. Some are essential for the site to function. Others, which run only with your consent, help us understand how the site is used and measure and improve our advertising. With your consent, we use Google Analytics to understand how visitors use the site, and Google Ads services, including conversion measurement and remarketing, to measure our advertising and to show our advertisements to people who have previously visited this website. These services use cookies and similar identifiers and are provided by Google, whose use of information is described in Google's own privacy policy at https://policies.google.com/privacy. You are asked for consent through the banner shown on your first visit, and no advertising or analytics cookies are set before you consent. You can change your choice at any time using the Cookie Settings link in the footer of every page, and you can additionally opt out of personalised advertising from Google at https://adssettings.google.com and install the Google Analytics opt out browser add on at https://tools.google.com/dlpage/gaoptout. You can also manage cookies through your browser settings, although some site features may then not function as intended.

6. International transfers

Your information is held primarily in the United Kingdom and the European Economic Area. Where information is transferred outside the UK, including to our group support office and to service providers operating internationally, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or the UK Addendum to the European Commission's standard contractual clauses, or another mechanism recognised under UK data protection law. When you instruct us to lodge an application, the transfer of your information to the relevant consulate and its application centre is necessary for the performance of your contract with us.

7. How long we keep your information

Enquiries that do not lead to an instruction are kept for up to twelve months and then deleted. Completed case files are kept for up to six years after the file closes, reflecting legal, accounting and limitation requirements, and are then securely destroyed. Where the law requires a longer period for particular records, that period applies.

8. How we protect your information

We use secure systems, encryption and restricted access controls. Access to case files is limited to team members who need it to work on your instruction. Our security arrangements are reviewed regularly.

9. Your rights

Under UK data protection law you have the right to request access to the personal information we hold about you; to have inaccurate information corrected; to have your information erased in certain circumstances; to restrict or object to particular uses of it, including an absolute right to object to direct marketing; to receive certain information in a portable format; and to withdraw any consent you have given. To exercise any of these rights, contact us at info@flypassholidays.co.uk. We respond to valid requests within one month. You also have the right to complain to the Information Commissioner's Office at https://ico.org.uk or on 0303 123 1113, although we would welcome the chance to resolve any concern with you first.

10. Children

Our services are engaged by adults. Where an application concerns a child, we act on the instructions of a parent or legal guardian and handle the child's information only for that application.

11. Links to other websites

Our site contains links to external websites, including Trustpilot, WhatsApp and official consular resources. Those sites have their own privacy policies, and we are not responsible for their content or practices.

12. Changes to this policy

We may update this policy as our services or the law change. Significant updates will be published on this page with a revised effective date.
